G.C. RAO Academy (“we”, “us”, “the Academy”) operates www.gcraoacademy.com and provides coaching for CMA, CA, US CMA, ACCA and EA programmes. This policy explains what personal information we collect, why we collect it, and the choices you have. By using our website or enrolling with us, you agree to this policy.

1. Information we collect

We collect only what we need to respond to you and to deliver our courses.

Details you give us — name, email address, mobile number, course of interest, and any message you send through an enquiry, registration or contact form.
Student records — for enrolled students: course level, branch, batch, attendance and academic records.
Examination data — answers you submit in online tests, marks awarded, faculty remarks and attempt history.
Order details — where you order books: shipping address and pincode.
Technical data — IP address, browser type and pages visited, collected automatically by the web server in standard logs.

2. How we use your information

To respond to enquiries and provide course counselling.
To register you for a course, manage your batch, and give you access to the student portal.
To conduct online examinations, evaluate answers and publish results.
To process and deliver book orders.
To send administrative updates about your batch, class timings, exams and results.
To improve our website and course offerings.

3. Examination answers and marks

Answers you submit in online tests are stored against your student account. Objective answers are scored automatically. Written (descriptive) answers may be scored automatically against a marking scheme and are reviewed by our faculty, who may adjust the marks. Your answers and marks are visible to Academy faculty and administrators for evaluation, moderation and record-keeping.

4. Sharing your information

We do not sell or rent your personal information. We share it only:

with our faculty and administrative staff, for the purposes above;
with service providers who host our website or deliver books to you, limited to what they need to perform that service;
with an examining body (such as ICMAI, ICAI, IMA or ACCA) where you have asked us to assist with your registration; and
where we are required to do so by law.

5. Cookies

We use a session cookie to keep you signed in to the student portal and admin area. It is required for those areas to work. Our pages also load fonts, icons and scripts from third-party content delivery networks, which may set their own cookies. You can block cookies in your browser settings, but the login areas will not function without them.

6. Data security

Access to student and examination records is restricted to authenticated staff accounts. Passwords are stored in hashed form and are never displayed. While we take reasonable measures to protect your information, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

7. How long we keep information

Enquiry details are retained while we follow up with you. Student and examination records are retained for the duration of your course and afterwards for our academic records and for issuing certificates or transcripts on request. You may ask us to delete information we no longer need.

8. Your rights

You may contact us to:

ask what personal information we hold about you;
have inaccurate details corrected;
ask us to delete information we are not required to keep; and
opt out of promotional messages (we will still send messages essential to your course).

9. Children

Our courses are intended for students who have completed schooling. Where a student is a minor, we expect enrolment details to be provided by a parent or guardian.

10. Changes to this policy

We may update this policy from time to time. The revised version will be posted on this page with a new “last updated” date.
